Get Started With Meetings

Claras ensures you’re fully prepared for every client meeting with relevant insights, structured agendas, and automated file notes. The Meetings feature helps you provide a personalised experience for your clients while keeping every detail organised and accounted for.

With Claras, you can:

Schedule meetings in advance to prepare thoroughly and automatically generate a file note afterward; or
Add past meetings by uploading a video, audio, or transcript to quickly create a file note.



Here’s how to set up and make the most of future meetings:

Step 1: Navigate to the Schedule screen



In Claras click on Meetings in the left-hand menu. This will bring up the Schedule screen, where you can see:
Upcoming meetings: Easily view what’s ahead for today, tomorrow, or later.

Filters like Only Me, Clients, or Unscheduled to keep your view organised.


Step 2: Create a new meeting


To start scheduling, click + New Meeting in the top right corner.

In the Create Meeting popup, complete the following fields:

Client: Select an existing client or click New Client to add someone new.
Type: Choose a meeting template (e.g., Prospect Call, Annual Review).
Facilitator: Assign a team member who will lead the meeting.
Date and Time: Pick the date and time of the meeting using the calendar selector.

When you’re done, click Create Meeting to save it.


Step 3: Use templates to guide your meeting


After creating the meeting, Claras will automatically apply the chosen agenda template. You can:

Preview the agenda from the Schedule screen.
Customise agenda items by editing the template directly.
Add notes to give Claras additional context.

This ensures every meeting is tailored to client needs without requiring you to start from scratch.

You can edit the agenda for future meetings from the templates page.


Step 4: Start and record the meeting


When it’s time for the meeting:

Go to the Schedule screen and select the relevant meeting.
Click Record Meeting to begin a secure recording directly within Claras.
Pause the recording if you have a break, then resume it to continue.

This ensures all details are captured, reducing reliance on handwritten notes.

Alternatively, you can record in another platform then upload the audio, video or transcript to create the file note.


Step 5: Finish recording and submit for file note creation


At the end of the meeting:

Click Stop. You can playback the recording if you'd like to check it.
Click the green Use recording tick.
Click Start Processing to generate your file note and client email.

Claras will automatically:

Extract key insights from the discussion and your notes.
Generate a well-structured file note with decision points, action items, and follow-ups.
Save the note under the client’s profile, keeping all records centralised.
