What's the best way to record client meetings?


- In-person meetings: Record directly into Claras. The recorder is found at the top of your meeting page.
- Online meetings: Record in Teams or Zoom, then upload the video, audio or transcript to your meeting.

How do I switch from monthly to annual payment?


On the Billing page (available under Settings on the left hand menu), select "Switch to Annual billing" from the Actions dropdown.
If you'd like to switch from Annual to Monthly payment, the reverse applies.

How do statuses work in Claras?


There's file note 3 statuses in Claras:
- Draft: A placeholder before you've had the client meeting and created your file note.
- Processed: You've created the file note, but it's being checked and finalised.
- Finalised: Once you've reviewed and filed it, click the green Finalise button.

How do I upload my meeting recordings?


Create a new meeting from the Schedule page. Click the "Upload Recording" button at the top of the page and upload your video/audio recording or transcript.
Then click "Start Processing" to create your file note.

How do I download my transcript?


- Copy your transcript from Claras by clicking the 3-dot menu at the top right, then selecting "Copy transcript".
- You'll then be able to paste it into a document or another platform.



Live transcription in Claras isn't working.


If you're not seeing your transcription on-screen when recording your meeting directly in Claras (after clicking the "Live Recording" button then "Start Transcription"), there's a few things to check:
Check that you've allowed Claras to access your microphone, by giving your permission in the security popup
Check your browser's security settings and ensure the microphone is set to the correct microphone

Once you've checked these, reload the page and try again.

Check your browser's default microphone is the correct one.

How do I stop my File Notes from repeating details? They're too long!


To reduce the repetition in your notes, refine the template. Before finalising a note, click the "Refine Note & Template" button and tell Claras what changes you'd like to see. Claras will create a preview so you can compare the output before updating the template. Find out more here.
You can also:
- Add guidance at the top of the template. For example: [Don't repeat the same information in different sections].
- Remove any open ended or general statements in the template, and be specific about the detail you need in a particular section.

Can I share my login?


No, it's against our terms of service, and is insecure. Plus, if you're recording a meeting and someone logs into Claras using the same credentials, it will automatically log out anyone else using those same credentials. If this happens halfway through a meeting it could prevent the transcript from being saved properly.
We recommend seperate user accounts for team members who need to access Claras. Invite support staff using the "Assistant" role from the Teams page.

Can you reset my 2FA/MFA code?


If you've changed your phone or authenticator app and can't get a code, we'll need to reset it. As this is a potential security issue, please confirm you’re who you say you are by answering the following questions:
- The names of any other advisers in your practice account.
- Two clients that you’ve created file notes for.
